How to use Commercial Invoice Generator
- Enter seller and buyer details and optionally upload your logo; they are kept in this browser for next time.
- Add the document number, date, currency, Incoterm, payment terms and ports, then add items line by line.
- Check the live preview and click “Print / Save PDF”. Switching to the commercial invoice or packing list reuses the same data.
Frequently asked questions
How do proforma invoices, commercial invoices and packing lists differ?
A proforma invoice confirms the offer before shipment and is used for deposits, import licences or letters of credit. The commercial invoice is the final invoice for customs and payment. The packing list details quantities, weights and dimensions per carton for loading, inspection and receiving.
What must a commercial invoice include?
Usually seller and buyer names and addresses, invoice number and date, description, HS code, quantity, unit and total price, currency, Incoterm, country of origin, ports, shipping marks and package count. Some customs authorities need more, such as a declaration or manufacturer details; confirm with your forwarder or broker.
How is the amount in words written?
It follows trade-document convention, e.g. “SAY US DOLLARS TWELVE THOUSAND FIVE HUNDRED AND CENTS FIFTY ONLY”. The currency name follows your selection and the amount follows the total.
How do I save it as a PDF?
Click “Print / Save PDF” and choose “Save as PDF” in the print dialog with A4 paper. Only the document prints, not the editor.
Are my company and bank details uploaded?
No. Everything is processed and saved in this browser only, and is removed if you clear browser data. Double-check bank details before sending to guard against payment fraud.
