How the proforma invoice, commercial invoice and packing list fit together
- After the offer is agreed, issue a proforma invoice; the buyer pays the deposit, opens a letter of credit or applies for an import licence against it.
- At shipment, issue the commercial invoice for customs, clearance and payment, with the same goods and prices as the proforma invoice.
- Issue the packing list at the same time, with cartons, weights and sizes per item, consistent with the commercial invoice and the bill of lading.
A bill of lading is issued by the carrier or forwarder, and a certificate of origin by a chamber of commerce, trade promotion body or customs; a self-made template cannot replace them, so this site does not provide them.
Frequently asked questions
Does the Excel packing list template calculate automatically?
Yes. Enter cartons, quantity per carton, net and gross weight per carton and the carton size; total quantity, net and gross weight and CBM are formulas, and the last row adds them up.
Must the quantities and weights match the invoice?
Yes. Customs, forwarders and buyers compare the packages, weights and marks on the invoice, packing list and bill of lading; differences can lead to inspection or delays.
How is CBM calculated?
One carton is length × width × height in cm divided by 1,000,000, multiplied by the number of cartons. The template and the online tool both use this formula.
Can the packing list tell me how many containers I need?
In the online packing list, click Send to container loading: descriptions, sizes, cartons and gross weight go to the container loading calculator, which plans 20GP, 40GP and 40HQ loads.
